Customer Service Staff – Internship For 6 Months

Job Description

*MISSION STATEMENT:
Coordinate with supply chain, take orders from customers/ wholesalers and process the sales orders (process goods issue, delivery notes, invoicing,…) update customer’s information to finance.

*MAIN RESPONSIBILITIES:
1. Answer phones and respond to customers/ wholesaler’s requests.
2. Provide customers/ wholesalers with products information.
3. Take orders from customers/wholesalers on daily basic.
4. Process sale orders for customers (wholesalers, international accounts) for both area Ha Noi & HCMC
5. Process delivery notes base on approved sales order for both Ha Noi & HCMC.
6. Process Account Receivable Invoices for customers base on sales order, delivery order for both Ha Noi & HCMC
7. Process all FOC orders for both Ha Noi & HCMC.
8. Co-ordinate with finance for overdue/ over credit limits and informed customers accordingly.
9. Co-ordinate with 3rd logistic to arrange delivery to customers on time & in efficiency.
10. To support and manage 3rd party logistic & supply chain: manage warehousing in efficiency and effectively in line with business growth objectives
11. To support logistic supervisor in preparation application to get automatic import license from Ministry of Industry and Trade Department.
12. To support logistic supervisor to conduct stock count on quarterly basic.
13. Support logistic supervisor to manage Point of Sale Materials (POSM) warehouse in effective way: Define KPIs to measure & monitor the use of POSM.
14. Other as assign if any.

*REPORTING
1. To prepare weekly & monthly sale analysis report.
2. To others reports as assign.
This position reports directly to Importation Director.

* WORKING RELATIONSHIPS
-Internal: Finance Director, MHAP Singapore, Wineries.
-External: Warehouse/ Logistic Provider, Shipping Agents/ Freight Forwarder, Suppliers/ Customers.

Job Requirements

*Education:
University degree, preferably major in Foreign Trade, Commercial.
*Languages:
Good at English.

*Technical & management skills:
– Proficient skills in PC software: Excel, Word and Powerpoint.
– Good organizational, problem solving and analytical skills.
– Familiar with SAP will be an advantage.
– Mature and able to work independently with minimal supervision.
– Highly motivated individual, energetic, and team-oriented.
